Position Overview: 
Jörgen Dance Academy is seeking a reliable and detail-oriented Administrative Assistant to join our team on a contract basis. This role is ideal for someone who enjoys working in a dynamic environment and is passionate about supporting the arts.

The Technical Coordinator is a key member of the production crew, responsible for overseeing the technical aspects of the Company’s ballet productions. As part of the production crew this position also manages logistics, technical setup, and maintenance of performance gear, as well as administrative tasks.

The Technical Coordinator will tour with the Company, providing hands-on support and supervision for all technical aspects or the performances. While in Toronto, the role also involves supporting studio and warehouse upkeep, performing minor repairs, and assisting with educational performances.

A strong desire to travel to small communities across all ten Canadian provinces is essential, as is a valid driver’s license.

The Technical Coordinator is responsible for:

Technical & Production Oversight

  • Hiring part time staff for events as necessary, in consultation with Production Manager;
  • Assisting with large prop assembly and prop pre-sets as needed in studio & spacing rehearsals in each venue for each production;
  • All sets, backdrops, flies, dance floor and supporting hardware;
  • Procurement of any relevant materials for the job that are necessary with approval from the General Manager and in partnership with the Production Manager;
  • Working with the Stage Manager, Wardrobe Supervisor and Lighting Coordinator to maintain, transport and store all sets, props and other production elements;
  • Tracking and planning for repairs, cleaning and replacements needed for set, props, truck strap equipment and misc. items (crates, dance floor, etc.). The Stage Manager will inform the Technical Coordinator of any necessary prop repairs;  
  • Assisting the Production Manager, Stage Manager and Wardrobe Supervisor with all set- up/ load in and strike/load outs in each venue as well as load in and outs from the Ballet Jörgen warehouse and studio space;
  • Supervising and assisting local theatre crew – professional and volunteer – with all performance setups and strikes including but not limited to show sets, backdrops, flies, dance floor and supporting hardware;
  • Assisting with lighting setup where needed;
  • Work with the Production Manager and Stage Manager on placement of soft goods on the line set schedule in conjunction with the Lighting Coordinator and in conjunction with the Artistic Director on placement of floor to ensure lighting and spacing is not impeded and the dancers are lit well;
  • Assist Stage Manager, Lighting Coordinator and Wardrobe Manager with other in-theatre setup as needed to ensure safe, timely and accurate setups;

Administrative

  • Working with the Production Manager, Stage Manager, Lighting Coordinator, Wardrobe Supervisor, Education Department and Artistic Department to use existing Ballet Jörgen information, including performance contracts and historical data, as well as the information received from the venue to make a detailed production plan for all venues and performances – including scheduling, crewing, and physical layout. Key items for the Technical Coordinator are:
    • Determining the positioning of the dance floor in each venue in consultation with the Artistic Director, Stage Manager and the Lighting Coordinator. In theatre, will lead the laying, rolling and taping of the dance floor;
    • Assisting the Lighting Coordinator with the planning of placement of lighting booms and ground row lights.
  • Creating and/or updating of technical paperwork for each ballet, including truck packs and diagrams, list in order of the packs for both truck & cube, set up and strike notes, detailed venue notes for all venues, show specific information for all venues (post notes) that also outline if changes were made from what was sent to the venue (lighting plot, amount of floor, how floor is laid out, soft good position, etc) and photographs; 
  • Contacting theatres with questionnaire related to technical information, hospitality, front of house and available theatre spaces with assistance from and in partnership with the Production Manager and Stage Manager;
  • Creating and/or updating technical general paperwork that refers to instructional guides for the role of Technical Coordinator and anything that pertains to the job.

Logistics & Transportation

Driving

  • Will be required to maintain a D Class or higher license. This will ensure you can drive all the production trucks – 26’ straight truck and Cube with 16’ box as well as other production vehicles – without restrictions across Canada and the United States (when applicable).
  • Required to share driving responsibilities of all production vehicles and will be one of the primary drivers;
  • Informing the company of any driving infractions and parking tickets for the Company’s driving records (Whether with the company or not). The Technical Coordinator will be required to provide updated driver’s license information when applicable to the company before driving any company vehicles (rented or leased).  The Technical Coordinator will also be responsible for payment of any tickets due to their traffic violations while driving for the Company as well as be responsible to pay the charge for keys locked in the cab of any truck/van/car if they were the driver of the vehicle when it was parked;

 Trucking

  • Filling out the truck/cube logbook or completing electronic logging and making sure that the other company drivers of the truck & cube fill out their logbooks/log electronically;
  • The transportation logistics for trucking in each province and state including renting, Routing, routing regulations, permits, logging and overall safety;
  • Working with the Stage Manager to book production truck rentals and determine appropriate maintenance schedules;
  • Meet technicians as needed for relevant truck repair and/or maintenance;
  • Working with Stage Manager and General Manager to stay up to date on all Canadian and United States (when applicable) trucking regulations including border crossing, weight limits, license requirements, required time off, driver tracking and paperwork requirements; 

Toronto Specific Duties

  • General studio/storage upkeep including:
    • Storage upkeep;
    • Electronics upkeep/disposal;
    • Minor repairs (Barres, clocks, etc.);
    • Work orders as required from GBC for building and major repairs;
    • Education performances and In-studio performance assistance;
    • General Warehouse upkeep including:
    • Organization, including documentation;
    • Cleaning;
    • Ensuring warehouses are kept up to code;
    • Meet any relevant vendors required for material(s) pickup and shipment delivery;
    • Ensuring all show related materials are packed and ready for tour;

Other responsibilities as assigned by the Artistic Director.

Requirements

Completion of an accredited post-secondary program in technical theatre or the equivalent combination (3 years or more) of experience and education;

  • Professional experience as a Technical Director or head technician;
  • Knowledgeable in scenic construction and fly systems & fixed grid rigging;
  • Ability to read and produce technical drawings;
  • Able to drive production vehicles – 26’ straight truck, cube, vans, etc;
  • Valid D-Class or higher driver’s license and passport;
  • Strong written and verbal communication skills a must;
  • Experience with QLab software an asset;
  • Moderate experience in computer aided drafting and knowledgeable with AutoCAD an asset;
  • Punctual, organized and able to perform tasks independently;
  • Good relationship building skills;
  • Must be able to handle stressful situations and deadline pressure while ensuring accuracy;
  • Skilled in major computer applications related to work including Microsoft Word, Excel, Outlook;
  • Some physical work will be required, including but not limited to heavy lifting, climbing ladders, aerial lifts and working at heights;
  • Work will include evenings and weekends;
  • French an asset.

 

The Technical Director will report to the Production Manager and Artistic Director.

Additional Information:

Ballet Jörgen’s 2025-2026 season will include tours of Sleeping Beauty, The Nutcracker, and A Midsummer Night’s Dream. Touring will take place across Canada.

Contract Length: 35 to 40 Weeks

Contract Start Date: On or around September 8, 2025

Hours: Up to 46 hours/week

Fees: $1,100/week

As part of the production crew this position also manages logistics, technical setup, and maintenance of performance gear, as well as administrative tasks.

The Lighting Coordinator will tour with the Company, providing hands-on support and supervision for all technical aspects or the performances. While in Toronto, the role also involves supporting studio and warehouse upkeep, performing minor repairs, and assisting with educational performances.

The Lighting Coordinator is responsible for:

Lighting & Production Oversight

  • All lighting fixtures, booms and boom bases, lighting materials and necessary hardware;
  • The direction of the hang and focus and the cueing in each venue. You will cue the show on the Company laptop and then transfer the show over to the lighting operator.  Very occasionally you will be required to run lights for a performance.
  • Spiking all lighting specials in each theatre and knowing where these specials should be focused.
  • Supervising and assisting local theatre crew – professional and volunteer – with all performance setups including but not limited to show lighting, lighting focus, gobos and gel placement, cable management;
  • Assisting the Technical Coordinator & Stage Manager in determining the position of the dance floor and/or the downstage edge of the light that the dancers can be seen in for the Technical Coordinator to tape out.
  • Working with the Stage Manager, Wardrobe Supervisor and Technical Coordinator to maintain, transport and store all sets, props and other production elements;
  • Assisting the Technical Coordinator, Stage Manager and Wardrobe Supervisor with all set- up/ load in and strike/load outs in each venue as well as load in and outs from the Ballet Jörgen Canada’s warehouse and studio space.
  • The Lighting Coordinator will indicate the position of the booms and ground row where applicable in consultation with the Stage Manager.
  • Work with the Production Manager and Stage Manager on placement of soft goods on the line set schedule in conjunction with the Technical Coordinator and in conjunction with the Artistic Director to ensure lighting and spacing is not impeded by lighting instruments and the dancers are lit well;
  • Assist Stage Manager, Technical Coordinator and Wardrobe Manager with other in-theatre setup as needed to ensure safe, timely and accurate setups;

 

Administrative

  • The preparation and paperwork of the lighting plots for the season’s productions and any other company productions that require lighting.
  • Answer any and all relevant questions and inquiries from the theatre and related staff;
  • Creating and/or updating general paperwork that refers to instructional guides for the role of Lighting Coordinator and anything that pertains to the job;
  • Documenting any relevant information that pertains to the set up and tear down that include, but are not limited to:set up and strike notes, detailed venue notes for all venues, show specific information for all venues (post notes) that also outline if changes were made from what was sent to the venue (lighting plot, lighting positions, etc) and update the paperwork to match what was actually done and photographs;  
  • Keeping detailed inventory of and timely reordering of lighting supplies including but not limited to; gels, gel holders, gobos, gobo holders and any relevant materials.
  • All appropriate keys, key cards, credit cards are returned to the office on the final day of contract and a relevant email following up to indicate their return;

 

Logistics & Transportation

Driving

  • Required to share driving responsibilities of all production vehicles;
  • Filling out the truck/cube logbook or completing electronic logging and making sure that the other company drivers of the truck & cube fill out their logbooks/log electronically;

 

Toronto Specific Duties

  • Toronto responsibilities include but are not limited to:
    • Organization, including documentation;
    • Minor repairs of equipment;
    • Ensuring all lighting equipment is cleaned and maintained
    • Ensuring all lighting equipment is packed and ready for tour;
    • Meet any relevant vendors required for material(s) pickup and shipment delivery
  • Other responsibilities as assigned by the Artistic Director.

 

Requirements

  • Completion of an accredited post-secondary program in technical theatre or the equivalent combination (3 years or more) of experience and education;
  • Must have theatrical and dance lighting design experience;
  • Experience with leading crews in lighting or technical department;
  • Experience with ETC Nomad console;
  • A valid drivers license is a must. Duties will include driving production vehicles including 16’ box cube;
  • Valid passport;
  • Excellent organizational and communication skills.
  • Working knowledge of current safety standards;
  • Must be able to handle stressful situations and deadline pressure while ensuring accuracy;
  • Skilled in major computer applications related to work including Microsoft Word, Excel, Outlook;
  • Some physical work will be required, including but not limited to, heavy lifting and climbing ladders, aerial lifts and working at heights;
  • Work will include evenings and weekends;
  • French an asset;
  • Touring experience would be an asset.

The Lighting Coordinator will report to the Production Manager and Artistic Director.

Additional Information:

    Accompanists will potentially be called upon to play for a ballet class for the company, and/or as a substitute for George Brown Dance classes. This may lead to contracts for regular classes during school terms.
